Job descriptionWe are seeking a full-time Administrative Assistant for the summer season from June 1, 2026, to July 24, 2026. This position is 5 days per week, Monday to Friday, from 8:00 am to 3:30 pm, (35 hours per week), with occasional evening or weekend work as required. The hourly pay is $18 per hour. This is a Canada Summer Jobs funded role; students aged 17-30 are eligible to apply.
The Administrative Assistant will have contact with diverse people from many different backgrounds (cultural, faith, life experiences, etc.) and will often work with families with English language barriers. The ability to demonstrate patience, empathy and sensitivity to all clients while exercising objectivity is a key requirement. Candidates with training or practical work experience in leading diversity, equity and inclusion initiatives will be given preference.
Duties & Responsibilities- Respond to inquiries from prospective applicants and provide referrals to other community services as required
- Plan family-centered events including Ground-Breaking & Home Dedication ceremonies
- Update and maintain accurate records of partner families ensuring confidentiality of stored information, in both digital and hard copy formats
- Perform general office duties: public inquiries, materials ordering, filing, mail, reports, A/P, invoices & disbursements; support charitable tax receipting processes
- Provide administrative expertise and support to other departments as required
- Ensure confidentiality of information is secure and properly stored
- Provide support to other departments as required
Qualifications & Experience- Post-secondary student or recent high school graduate with a strong work ethic
- Excellent written and verbal communication skills when dealing with both internal and external stakeholders
- Strong computer literacy including thorough knowledge of Microsoft Office Suite including Word, Excel, PowerPoint & Outlook. Experience using CRM platforms and automated payroll systems an asset
- Experience in direct client service delivery, with a focus on diversity, equity and inclusion initiatives
- Exceptional organizational and administrative skills
- Proven ability to multi-task, prioritize effectively and meet deadlines
- Must be self-motivated and driven by making a difference
