We are seeking a reliable and proactive Administrative Assistant to support daily office operations. This role provides consistent part-time hours with required flexibility to cover absences and support operational needs. This is an in-office position and is ideal for someone who is organized, adaptable, and highly dependable.
Key Responsibilities Front Desk & Office Support- Answer incoming calls and respond to general inquiries
- Greet walk-in clients and assist with basic requests
- Receive and manage deliveries
- Maintain a professional and organized front office
Accounts Receivable (Collections)- Monitor outstanding invoices
- Send payment reminders and follow up on overdue accounts
- Track payment status and flag issues as needed
Estimate & Client Follow-Ups- Track estimates issued to clients
- Conduct follow-ups to support job approvals
- Update status of quotes (pending, approved, declined)
Scheduling & Coordination- Confirm upcoming appointments and job details with clients
- Assist with coordinating access and scheduling logistics
- Support technicians and estimators with administrative needs
Administrative Support- Maintain accurate job and client records
- Organize documentation and assist with file management
- Support basic data entry (QuickBooks experience is an asset but not required)
Business Support Tasks- Follow up on missed calls and prior inquiries
- Assist with maintaining contact lists and client communication
- Support general office efficiency and workflow
Position Details- Part-time (approximately 15–25 hours per week)
- Typical schedule: mid-day coverage (e.g., 9:30 AM – 2:30 PM)
- Hours may vary week to week based on operational needs
- Additional hours are a required part of this role, including the ability to cover full-day shifts (8:00 AM – 4:30 PM) on short notice
- Hourly wage: $22–$25/hour, based on experience
Requirements- Strong communication skills in English (spoken and written)
- Highly reliable and dependable attendance
- Ability to work independently and manage multiple tasks
- Comfortable in a fast-paced, small business environment
- Must be available to work in-office
- Flexible availability is essential and required for this role
