Job SummaryWe are seeking a highly organized and detail-oriented Administrative / Sales Assistant to support our office and sales operations. The ideal candidate will have experience or education in book keeping, data entry and customer service.
The perfect candidate would be someone willing to do Administrative Work to support sales operations while also learning our Book Keeping systems.
This roll will lead into a full time permanent Book Keeper position in roughly 2 years time when our current Book Keeper retires.
Responsibilities- Answer and direct phone systems with professionalism and courtesy.
- Greet visitors and manage front desk responsibilities.
- Perform data entry tasks accurately using our internal systems.
- Maintain organized filing systems both electronically and physically.
- Assist sales staff with documentation management and completion.
- Learn and Support bookkeeping activities and financial record keeping.
- Provide excellent customer service to clients, vendors, and staff.
- Handle administrative tasks such as copying, scanning, faxing, and mailing documents.
- Support Sales Operations by moving vehicles around town when required.
- Maintain a clean and organized work environment
Qualifications- Valid Drivers License and the willingness to drive during daily operations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with QuickBooks or similar bookkeeping software preferred.
- Strong computer skills including data entry, typing, and document proofreading.
- Excellent organizational skills with attention to detail.
- Ability to handle multiple tasks efficiently in a fast-paced environment.
- Exceptional phone etiquette and customer service skills.
- Previous experience with front desk management and multi-line phone systems is desirable
- Demonstrated ability to maintain confidentiality and exercise discretion when handling sensitive information.
- The ability to drive manual transmission vehicles would be an asset.
