Administrative and Project Coordinator

Position SummaryThe Administrative and Project Coordinator provides administrative and project support to the Grey Bruce Ontario Health Team (GBOHT) Executive Director (ED), Governance Councils, Committees, Working Groups, Project Teams and staff. The Administrative and Project Coordinator will use their advanced knowledge of office administration and project coordination along with their strong technical and communication skills to support a variety of corporate meetings, projects and events. Using tact, diplomacy and discretion the Administrative and Project Coordinator will use their exceptional customer service and interpersonal skills to represent Administration in a positive and professional manner. This position also supports Board governance requirements to maintain current and effective OHT operations.
Qualifications- Successful completion of a post-secondary Office Administration program
- 1-3 years administrative/secretarial experience, preferably at a senior level
- Strong understanding of governance processes and meeting coordination.
- Ability to work independently in a remote environment while maintaining strong team connectivity.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Teams, Zoom, SharePoint).
- Effective organizational and time management skills to manage demanding calendars
- Ability to develop professional reports, presentations, and draft correspondence
- Demonstrated ability to take accurate, effective and timely minutes
- Respect for confidentiality and awareness of all relevant privacy legislation including an understanding of PHIPA, FOI
- Experience in office management and information co-ordination (i.e. setting up filing systems)
- Demonstrated ability to establish and maintain positive working relationships with others
- Excellent communications skills to liaise with the public, executives from other health and social service organizations
- Ability to speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.
- Willingness and ability to travel within the Grey Bruce region as required.
- Flexibility to support occasional early morning or evening meetings.
- Recent satisfactory attendance and performance
Working Conditions- This is a fully remote position, with occasional in-person meetings across Grey Bruce as required.
- Some flexibility in working hours may be required to support meetings and partner engagement.
