Job OverviewWe are seeking a detail-oriented and organized Administrative Support to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth daily functions and excellent customer service. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple tasks efficiently. Experience in an office settings is a plus. The Administrative Support will be the first point of contact for clients and visitors, managing front desk responsibilities and supporting various administrative functions.
Responsibilities- Answer multi-line phone systems with professionalism and courtesy, adhering to proper phone etiquette
- Manage front desk duties, including greeting visitors and clients
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and Adagio.
- Maintain organized filing systems both electronically and physically
- Support bookkeeping and basic financial record keeping
- Assist with appointment scheduling and calendar management
- Prepare correspondence, reports, and proofreading documents for accuracy
- Provide excellent customer support and respond to inquiries promptly
- Support administrative projects as needed, including document preparation and record management
- Handle clerical tasks such as copying, scanning, and faxing documents
Qualifications- Proven experience in an office environment with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with Adagio software is preferred
- Excellent typing speed and accuracy; strong proofreading skills
- Previous clerical or administrative experience, especially in the pump manufacturing field, is advantageous
- Strong customer service skills with professional phone etiquette and communication abilities
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Familiarity with multi-line phone systems and front desk operations
- Basic computer skills including data entry, filing, and document management
- High school diploma or equivalent; additional administrative training or certification is a plus
