Areas of ResponsibilitiesThe Advisor is responsible for supporting the planning, monitoring and coordination of high-impact, cross-departmental corporate initiatives led by Corporate Projects, in alignment with Council and corporate priorities. The Advisor assists in project tracking, budgeting, reporting, communications, and operational responsibilities, and participate in cross-functional working groups. The role provides critical support in executing key projects, such as City Lands, Centre for Innovation, and Heritage Theatre.
PROJECT COORDINATION AND EXECUTION- Undertake project coordination and support, including scheduling, documentation, and milestone tracking, and reporting.
- Support delivery of projects through detailed workplans, timelines, and task management.
- Monitor project risks and escalate issues appropriately.
- Collaborate with internal stakeholders and consultants to ensure aligned execution.
- Support consistency in reporting, documentation, and project governance processes.
BUDGETING AND FINANCIAL ADMINISTRATION- Track project budgets, expenditures, and develop forecasts.
- Assist with contract administration and invoice processing and validation.
- Compile financial updates and reports for internal management.
- Support capital and operating budget submissions.
REPORTING AND ANALYTICAL SUPPORT- Draft reports, presentations, briefing notes, and tracking dashboards.
- Synthesize project data into visual or written summaries to support decision-making.
- Assist with the development and preparation of procurement documents.
- Research into best practices, policy trends, or benchmarking.
COMMUNICATIONS AND COORDINATION- Coordinate and support meetings with staff, external partners, and consultants.
- Prepare and consolidate agendas, minutes, and summary updates.
- Monitor project inbox and facilitate timely response to inquiries.
- Represent the project team in routine communications and coordination forums.
- Develop graphics and imagery to support project visualization.
- Maintain organized digital records, SharePoint content, and internal knowledge repositories.
