About the RoleA professional managing concurrent responsibilities across multiple domains — including career development, business operations, property management, and family administration — is seeking an organized, self-directed assistant.
The core of this role is communications triage and decision support. You sort what’s coming in across a range of professional and personal contacts, figure out what needs attention, assemble the relevant context, and present it so a decision can be made without redoing the groundwork. You then handle the follow-through.
Hours are flexible and work is primarily asynchronous, although you must be reachable at regular agreed-upon times and for brief meetingsat the beginning and end of each week.
Bookkeeping skills are an asset. Candidates who can handle bookkeeping (payroll, accountreconciliation, expense tracking, CRA remittances) will take on additional scope at a higher rate.
What You Will Do- Triage incoming communications, draft responses, and follow up on outstanding items
- For items needing a decision: assemble background, summarize stakes, present options
- Manage scheduling and coordinate travel logistics
- Coordinate with lawyers, accountants, healthcare providers, and other professionals
- Track deadlines across multiple domains: compliance, filing, registration, and project milestones
- Manage a digital filing system
- Draft professional correspondence
- Manage multiple calendars and coordinate appointments
- Manage vendors and supply orders remotely
- Support preparation of professional documents, reports, and presentations
- Research and plan personal scheduling: reservations, itineraries, logistics
- If qualified: process payroll, reconcile accounts, track expenses, and prepare records for a CPA firm
What We Are Looking For- 2+ years of administrative experience
- Good writing skills
- Organized and self-directed — comfortable working independently with minimal supervision
- Proficiency with spreadsheets, cloud tools, and email
- Absolute discretion
Strong Assets- Bookkeeping experience (payroll, bank reconciliation, CRA remittances)
- Legal or medical admin experience
- Familiarity with CRA processes and corporate reporting
- Experience coordinating across multiple professionals and institutions
