Makeup by Stephanie is seeking a highly organized, proactive, and client-focused Assississant to support the day-to-day management of our bridal and event bookings.
This role is ideal for someone who thrives in a fast-paced environment, loves organization, enjoys working with clients, and has a strong eye for detail. The position is heavily focused on bookings, scheduling, sales support, and client coordination, with some light marketing support as a secondary responsibility.
Key ResponsibilitiesClient Inquiries & Sales Support
- Manage inbox and respond to incoming client inquiries promptly and professionally
- Prepare and send customized quotes to prospective clients
- Conduct sales-oriented follow-up with warm leads to support booking conversion
- Nurture inquiries through the booking process and maintain strong client experience
Booking Management & Coordination
- Create contracts and invoices for confirmed bookings
- Maintain accurate and up-to-date booking records, calendars, and internal systems
- Coordinate artist availability and assign team members to bookings
- Develop staffing plans for wedding and event bookings
- Manage smaller bookings and ad hoc appointment scheduling
Client Management & Wedding Coordination
- Liaise with booked clients in the lead-up to weddings/events
- Confirm timelines, logistics, service details, and final requirements
- Process booking changes, revisions, and updates
- Ensure all booking details are organized and communicated accurately prior to events
Supporting Marketing / Admin Tasks
- Assist with light social media content creation/support
- Make basic website updates as needed
- Support occasional marketing and administrative projects
- Monthly newsletter creation
Ideal Candidate- Highly organized with exceptional attention to detail
- Comfortable managing a high volume of client communication
- Strong written communication and professional email etiquette
- Experience in bookings, client services, sales, account coordination, or project coordination
- Sales-minded and confident helping convert inquiries into bookings
- Able to manage multiple moving pieces and deadlines simultaneously
- Enjoys the beauty, bridal, events, or service-based industries
Bonus Points For:- Experience in the bridal, beauty, wedding, or events industry
- Familiarity with social media/content creation
- Experience with CRMs, booking systems, or project management tools
