About the RoleUnder the direction of the Supervisor of Corporate Services, the Corporate Services Assistant provides front desk/reception customer service in a professional and courteous manner and administrative support to the Corporate Services Unit to meet municipal service standards.

Job Responsibilities- Processes property tax payments.
- Processes building permit and planning applications.
- Schedules building, fire, building non-compliance, and dangerous and unsightly property inspections.
- Enters data for building permits, fire inspections, as well as dangerous and unsightly property files.
- Processes and tracks dangerous and unsightly property files and prepares a monthly report, correspondence, and orders.
- Coordinates cash floats and daily deposits of payments received.
- Maintains a comprehensive digital filing system for building inspections, fire inspections, dangerous and unsightly properties, and civic addressing.
- Provides administrative support as needed.
- Prepares various monthly reports for management.
- Performs general cashier duties.
- Greets customers and responds to general customer inquiries and inquiries regarding Property Taxation, Building permits, Fire Inspections, Dangerous & Unsightly Properties, Civic Addressing, and Recreation Programming and Facilities.
- Operates the main switchboard as well as the Building Inspection line and Recreation line, directing calls and answering questions and inquiries.
- Prepares correspondence, reports, and permit documents.
- Sends out building permits and civic address correspondence.
- Responds to general inquiries and correspondence regarding civic addresses.
Essential Criteria and CompetenciesMinimum qualifications include:
- Diploma in business administration; and
- 1 – 2 years of customer service experience; OR
- An equivalent combination of education and experience.
- Accurate cash handling experience
- Strong organization skills
- Ability to multi-task and meet multiple deadlines
- Attention to detail
- Experience working with Microsoft Office software, Laserfiche, and TownSuite software are considered assets.
- Experience in recording meeting minutes is considered an asset.
- Strong communication skills, both written and oral
Terms and Conditions of Employment:- Permanent full time, Monday to Friday based on 35 hours per week.
- Flexible work options are available.
- Office environment, based out of 10 Allée Champlain Drive, Cookville, Nova Scotia.
- Requires a satisfactory background checks, including criminal record check.
- Annual salary: (Band 40) $51,103 to $63,880
