Job Description:As a Customer Service Specialist / Administrative Assistant, you will be the first point of contact for our customers, providing exceptional support and ensuring their satisfaction. Additionally, you will handle various administrative, logistics, and warehouse-related tasks to support the smooth operation of our office. Your role will be critical in maintaining a positive and professional environment for both our customers and our team.
Key Responsibilities:Customer Service:- Respond promptly and courteously to customer inquiries via phone, email, and chat
- Process customer orders, quotations, and invoices
- Provide accurate and comprehensive information about products and services
- Keep detailed records of customer interactions, process customer accounts, and file documents
- Create and follow up on prospects and purchase orders
Order Fulfillment, Shipping, Receiving & Logistics:- Process customer orders accurately and efficiently
- Pack and ship orders to ensure timely delivery
- Track orders and update customers on shipment status
- Prepare shipping documents and follow up on domestic and international shipments
- Receive incoming shipments and verify accuracy
- Manage warehouse inventory and support day-to-day warehouse organization
- Support logistics flow and ensure smooth order fulfillment from start to finish
- Forklift operation is considered an asset
Administrative Support:- Assist in daily office needs and manage general administrative activities
- Manage calendars, scheduling appointments and meetings
- Prepare and distribute correspondence
- Maintain contact lists and manage company database
- Perform data entry and ensure accuracy of information
- Keep the office clean and organized
- Support the team with other administrative tasks as required
Qualifications:- High school diploma or equivalent; college degree preferred
- Customer service experience or office administration, preferred
- Strong client service, communication, and interpersonal skills
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively
- Professional and positive attitude with a customer-centric approach
- Ability to work both independently and in a team with minimal supervision
- Proficiency in MS Office Suite; QuickBooks experience is an asset
- Ability to meet the physical demands of the job, including lifting heavy loads up to 45 pounds
- Forklift operation experience is an asset
