Role Description:The Peterborough Victoria Northumberland and Clarington Catholic District School Board is seeking one (1) qualified full-time Executive Assistant to work out of the Catholic Education Centre, reporting directly to the Director of Education. This position provides high-level executive administrative support within a complex and confidential professional environment. The successful candidate will demonstrate discretion, professionalism, and a strong commitment to supporting the mission and vision of Catholic education.
The Executive Assistant is responsible for delivering comprehensive and confidential executive-level administrative support to the Director of Education, Trustees, and the Senior Administration team. This role requires a high degree of organization, initiative, and sound judgment to effectively manage priorities, communications, and relationships across a broad range of internal and external stakeholders.
The Executive Assistant supports the Director of Education in advancing the Board's Multi-Year Strategic Plan, Board Improvement Plan, and other key system priorities, contributing to the Board's strategic vision: “Rooted in community, formed in faith, ready to change the world.” This position plays a critical role in ensuring effective governance, communication, and operational efficiency at the system level.
Key Responsibilities:- Prepares, coordinates, and distributes Board meeting agendas and supporting materials to ensure efficient governance processes
- Attends Board meetings; records, prepares, and distributes accurate minutes; tracks and follows up on Board motions and action items
- Maintains comprehensive records management systems, including Board minutes, policy registers, and tracking systems
- Acts as a primary liaison with Trustees, senior administration, Ministry officials, and internal/external stakeholders to support communication and inquiries
- Receives and responds to communications on behalf of the Director, Board, and Board Chair, ensuring professionalism, accuracy, and alignment with legislation and Board policies
- Proofreads, edits, and reviews official documents for quality, accuracy, and completeness
- Conducts research, compiles data, and prepares reports to support decision-making and Board operations
- Manages the Director's and Trustees' calendars, scheduling meetings, events, travel, and conference logistics, including accommodations and catering
- Coordinates administrative operations of the Director's office, ensuring efficient workflow and collaboration with administrative support staff
- Handles highly confidential information with discretion, including sensitive student, employee, and government-related matters
- Monitors and coordinates follow-up actions, ensuring timely completion of assigned responsibilities
- Provides mentorship and guidance to administrative support staff
- Performs additional duties and special projects as assigned
Qualifications/Skills Required Qualifications:The required qualifications for the role are as follows (an equivalent combination of education and experience may also apply):
- Bachelor's Degree in a relevant subject area. Equivalent education and experience may be considered.
- A minimum of five years of related experience in administrative, office management, or other support positions, demonstrating increasing responsibility
