Job DescriptionWe are seeking an experienced and highly proactive Executive Assistant to support the President & CEO of Blue Rock Wealth Management Inc.
This role goes far beyond calendar management. You will act as a true operational partner—making judgment calls, managing competing priorities, coordinating across teams, and ensuring nothing falls through the cracks.
You will have real authority to manage the CEO’s time and commitments, so we’re looking for someone confident in decision-making, highly organized, and able to operate independently.
Key Responsibilities:Calendar & Priority Management- Own and optimize the CEO’s calendar, protecting focus time and minimizing context switching
- Decline, reschedule, or reprioritize meetings based on urgency and strategic importance
- Coordinate complex scheduling across internal and external stakeholders
Communication & Inbox Management- Triage emails and messages, flagging time-sensitive items
- Draft and send communications on behalf of the CEO (strong ghostwriting required)
- Manage internal updates, status check-ins, and cross-functional communication
Cross-Functional Support- Track and follow up on action items from leadership meetings
- Prepare briefing documents, agendas, and executive reports
- Coordinate with operations, product, marketing, and other teams on key initiatives
Travel & Logistics- Plan and manage travel, including detailed itineraries and real-time troubleshooting
- Coordinate logistics for offsites, meetings, and executive events
Strategic Partnership- Anticipate needs and solve problems proactively
- Provide confidential support on sensitive business matters
- Act as a trusted sounding board and operational extension of the CEO
Required Qualifications- Minimum 3+ years of experience as an Executive Assistant or similar role
- Excellent written and verbal communication skills (including email drafting and ghostwriting)
- Strong judgment, discretion, and ability to handle confidential information
- Proven ability to manage competing priorities and make independent decisions
- High level of organization and attention to detail
- Tech proficiency with Microsoft Office 365
- Experience with Zoho CRM, Laserfiche, or Univerus is an asset
- Highly self-directed — knows when to act and when to ask
Preferred Qualifications- Experience in financial services (banking, wealth management, insurance, etc.)
- 5+ years supporting a CEO or senior executive
- Strong relationship-building skills with internal teams, partners, and clients
- Bachelor’s degree in Business Administration or a related field
Pay: $70,000.00-$90,000.00 per year
