OverviewWe are seeking a highly organized and proactive Executive Assistant to support the President of our organization. The ideal candidate will possess strong administrative skills, exceptional attention to detail, and the ability to manage multiple priorities efficiently. The Executive Assistant will be instrumental in ensuring smooth daily operations and effective communication across departments.
Duties- Manage and maintain the President’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements.
- Prepare, proofread, and edit correspondence, reports, and presentations with precision using Microsoft Office Suite.
- professional phone etiquette; direct inquiries appropriately.
- Coordinate and organize documents, files, and records through efficient filing systems both physically and digitally.
- Perform data entry tasks accurately using various software tools such as QuickBooks and other bookkeeping applications.
- Assist with bookkeeping responsibilities including invoicing, expense tracking, and basic financial record keeping.
- Support front desk operations as needed, including greeting visitors and managing office supplies.
- Utilize DocuSign for electronic signatures and document management processes.
- Provide exceptional customer service to internal staff and external clients by maintaining a professional demeanor at all times.
- Assist with special projects as assigned by the President, ensuring deadlines are met with high-quality work.
Skills- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks for bookkeeping and financial record management.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent typing speed and accuracy for data entry tasks.
- Demonstrated office experience including clerical and administrative roles.
- Knowledge of multi-line phone systems and front desk procedures.
- Exceptional proofreading skills to ensure error-free documents.
- Ability to manage calendars efficiently using Microsoft Outlook Calendar.
- Strong customer service skills coupled with professional phone etiquette.
