Job SummaryWe are seeking a dependable and detail-oriented Medical Office Assistant to support the administrative and clerical operations of 5 Family Physicians in a well-established Family Medicine Practice
Key Responsibilities- Perform assigned daily administrative and clerical duties and meet required deadlines
- Organize and manage patient referrals using an electronic medical record (EMR) system
- Liaise with hospitals, specialists, and external agencies regarding patient appointments and admissions
- Provide administrative support to the physician and clinic team
- Maintain accurate and secure patient records in accordance with privacy legislation
- Establish and maintain organized and accessible filing systems (electronic and paper-based)
- Record and process incoming reports and documentation prior to physician review
- Assist with completion of medical and insurance forms
- Manage incoming and outgoing telephone calls, messages, and patient inquiries in a professional manner
- Serve as a chaperone during sensitive examinations when required
- Monitor office supply levels and coordinate restocking
- Perform other duties as assigned to support clinic operations

Employment Requirements & Expectations- Must be legally entitled to work in Canada
- Ability to provide proof of immunization and/or complete a vulnerable sector check may be required
- Commitment to maintaining patient confidentiality and professionalism at all times
Qualifications- Completion of secondary school (required); post-secondary education in medical office administration or related field is an asset
- Previous experience in a medical or administrative role preferred
- Familiarity with Telus PS Suites systems is considered an asset
- Strong organizational, multitasking, and communication skills
- Ability to handle confidential information in compliance with applicable privacy laws (e.g., PHIPA)
- Proficiency in basic computer applications (e.g., Microsoft Office)
