SummaryWe are looking for an Office Coordinator & Executive Assistant to be the welcoming face of our front office and a key support person for our leadership team.
This person will sit at our front reception desk and help lead our day-to-day customer service, answer phone calls, greet visitors, support customers, assist with office organization, and help keep our administrative systems running smoothly.
Over time, this role will also provide executive assistant support to our CEO Mitch, and eventually other members of the leadership team. This may include helping manage emails, completing forms, organizing documents, tracking follow-ups, reminding the team of key meetings and deadlines, supporting investor-related tasks, and helping create structure as we continue to scale.
This is not a traditional role where you wait for instructions throughout the day. We are looking for someone who can see what needs to be done, take initiative, ask thoughtful questions, and help create calm, organization, and consistency in a growing small business.
ResponsibilitiesFront office- Greet visitors, customers, delivery drivers, and partners in a warm and professional way
- Answer incoming phone calls and direct inquiries appropriately
- Monitor the front door, receive packages, assist walk-in customers, and help create a welcoming first impression of Rviita
- Keep the front office, reception area, meeting spaces, and shared areas tidy, organized, and presentable
- Support the team with day-to-day office needs, errands, supplies, filing, and general organization
Customer Service- Help manage customer inquiries through phone, email, and online channels
- Respond to customers with warmth, professionalism, and care
- Assist with order questions, delivery updates, subscription inquiries, refunds, and general product questions
- Escalate urgent or sensitive customer issues to the appropriate team member
- Help maintain clear customer service records and follow-up processes
- Support the team in making sure customers feel genuinely cared for
Office Organization & Administration- Help bring organization to files, documents, forms, office systems, and general administrative processes
- Assist with filing, scanning, organizing paperwork, and keeping records up to date
- Create simple systems that help the office run more smoothly
- Support the team with internal communication, reminders, follow-ups, and general administrative tasks
- Help keep the office stocked, tidy, and welcoming
- Look for ways to make the workspace more organized, efficient, and enjoyable for the team
Executive Assistant Support- Provide administrative support to the leadership team, primarily one of our co-founders to start
- Help manage email follow-ups, reminders, forms, documents, and scheduling support
- Assist with investor-related administration, forms, document organization, and follow-up tasks
- Help track important deadlines, meetings, and action items
- Support special projects as needed
- Act as a reliable second brain for a growing leadership team
