About the Role:We are seeking a highly organized and detail-oriented Office & Project Administrator to support our project management team and day-to-day office operations.
This role is best suited for a strong administrative professional who thrives in a structured, fast-paced environment. The position is primarily administrative in nature, supporting project teams through coordination, documentation, and process management, while also assisting with general office operations.
Key Responsibilities:- Ensure project and office documentation follows company processes and record-keeping standards
- Provide administrative support to Project Managers and project teams
- Assist with project documentation, including contracts, tracking documents, and routine reports
- Coordinate schedules, meetings, and communications with internal teams and external stakeholders
- Maintain accurate and up-to-date project files and records
- Manage office supply inventory, including monitoring stock levels, placing orders, and coordinating with vendors
- Track company subscriptions, including renewals, records, and usage, and flag any cost or renewal concerns to the appropriate team member.
- Assist with project file openings, bid preparation, and proposal documentation
- Assist with invoicing, purchase orders, and basic budget tracking
- Use internal systems and tools to support project documentation, file organization, RFIs, submittals, and related records
- Proactively maintains organized, accurate, and audit-ready project and office records
Qualifications:- 1–3 years of experience in an administrative, office support, project administration, or coordination role
- Post-secondary education in business administration, office administration, construction administration, or a related field considered an asset
- Demonstrated ability to learn and work within new systems, software, and administrative tools
- Strong organizational and time management skills with the ability to prioritize effectively
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- High attention to detail and accuracy
Nice to Have:- Experience with Procore or similar construction/project management software
- Prior experience in construction or another project-based environment
