We are seeking an Onboarding Specialist (Administrative Support) to join our Shared Services team under the Finance Department where you’ll play a critical role in setting our consultants up for success.
In this role, you will be responsible for overseeing comprehensive Canadian consultant onboarding activities, ensuring consultants are set up with accurate payment information, and verifying legal documentation for both clients and consultants. You will also assist with employment verification requests, letter of employment requests, background checks, audits, and will provide exceptional support to the Shared Services, Consultant Pay Group/Payroll, and Operations teams.

Job Responsibilities- Ensure all consultants of varied legal status (Incorporated, Sole Proprietors, Terms/T4s, SubVendors, and 3rd Parties) are compliant, provide accurate documentation, are onboarded, and are set up with correct payment information prior to contract start date.
- Ensure all contract details in our databases (MatchGuide and Great Plains) are confirmed, are supported by complete and accurate legal documentation, and are verified prior to the start ate of the contract.
- Consultant contract verification and issuing of e-documents for acceptance.
- Participate in completing consultant and client internal audits for verification.
- Provide employment verifications and consultant Record of Services or Letter of Employment.
- Assist the team in assigning tickets delegated to the appropriate Helpdesk.
- Respond to consultant and internal communication regarding onboarding queries.
- Provide support in completing background checks and notifying the respective teams.
- Participate in projects or initiatives, as assigned by the management team, in accordance with strategic goals and objectives.
- Respond to a variety of consultant and internal onboarding requests and/or inquiries in a timely and accurate manner (according to SLAs).
- Work to collaborate with the team and broader finance department to increase camaraderie, efficiency, automation, and scalability.
- Assist the team and act as a back-up when other team members are away.
- Participate and assist in ad hoc administrative requests in line with onboarding.
Experience:- College or university degree or 1-3 years of experience in the staffing industry, onboarding contractors/consultants, and processing letters of employment
- Must have Staffing Industry experience (preferably 1+years)
- Knowledgeable of contractor/consultant payroll requirements and pay cycles
- Consultant and client legal documentation compliance knowledge
- Intermediate MS Office skills (Word, Teams, Outlook, SharePoint)
- Intermediate Excel skills with the ability to run and understand macros, pivot tables and other formulas, as required
- Other areas related to accounting an asset
