Job Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the CEO and VP of Finance across three companies.
This is a permanent, part-time (30+ hours/week) remote role. The successful candidate must live within commuting distance of Guelph, Kitchener, Waterloo, or Cambridge and be available to attend one in-person meeting per week.
Role Description
As the Executive Assistant, you will serve as a trusted, day-to-day partner to the CEO and VP of Finance, ensuring smooth and efficient operations. You will manage complex filing systems, handle expense reporting and financial tracking, maintain well-structured digital file environments, and support both executives with a wide range of administrative responsibilities.
This role requires a self-starter who can work independently in a remote environment while maintaining a high level of accuracy, organization, and professionalism.
Qualifications
- Open to candidates ranging from high school graduates, college graduates, university co-op students, and recent graduates; however, skillset, drive, consistency, and growth potential are the top priorities
- Proven experience as an Executive Assistant or in a high-level administrative support role is strongly preferred
- Extremely proficient with Windows File Explorer and advanced file structure management (organization, naming conventions, archiving, and retrieval)
- Strong experience managing expense reports and tracking executive finances
- Highly proficient in Microsoft 365, particularly Excel and Word
- Excellent written and verbal communication skills
- Exceptional attention to detail and strong organizational capabilities
- Demonstrated ability to work independently as a self-starter in a remote environment
- Proficiency with scheduling tools, document management systems, and general office software
- Experience in the mortgage or real estate industries is considered a strong asset
- Ability to handle confidential information with discretion and professionalism
