We are seeking a detail-oriented and motivated Project & Estimating Coordinator to join our growing team and support both our Project Management and Estimating functions.
POSITION SUMMARYThe Project & Estimating Coordinator provides administrative and technical support throughout the pre-construction and construction phases of commercial and industrial projects. This role is integral to ensuring bids are accurate and competitive, projects are thoroughly documented, and communication flows seamlessly between office staff, field crews, subcontractors, suppliers, and clients.
The position reports to senior leadership and offers genuine growth potential for a driven, career-oriented individual.
KEY RESPONSIBILITIESEstimating Support- Review drawings, specifications, and tender documents
- Assist in preparing bid documents and proposal packages
- Solicit, track, and organize subcontractor and supplier quotations
- Maintain bid logs and vendor databases
- Perform quantity take-offs and data entry as directed
- Coordinate the assembly and submission of tender packages ahead of deadlines
- Maintain and organize historical project cost records
Project Management Support- Assist with project setup, contract administration, and document control
- Track RFIs, submittals, change orders, and project schedules
- Prepare meeting minutes and internal progress reports
- Maintain organized digital and physical project files
- Support budget tracking and invoice processing workflows
- Facilitate communications between project managers, field supervisors, subcontractors, and clients
Administrative & Compliance- Ensure all project documentation meets contractual and regulatory requirements
- Monitor timelines and proactively follow up on outstanding items
- Provide general administrative support to estimating and project management teams
QUALIFICATIONS- 2+ years of experience in construction administration, project coordination, or a related role (commercial/industrial experience preferred)
- Must demonstrate having successfully completed a minimum of 2 major industrial or commercial construction projects from start to finish — verifiable references from those projects are required as part of the application
- Hands-on, on-tool experience in an industrial or commercial construction environment is considered a strong asset
- Post-secondary education in construction management, business administration, or a related field is an asset
- Strong organizational and time-management skills with proven ability to manage competing priorities
- Proficiency in Microsoft Office Suite (Excel, Word, Project, Outlook)
- Experience with construction management or estimating software — such as Procore, Bluebeam, or PlanSwift — is an asset
- Familiarity with AutoCAD or Revit is an asset
- Excellent written and verbal communication skills
- Comfortable working within a fast-paced, deadline-driven environment
