COMPANY DESCRIPTIONEMV Holdings Corp. operates a 700+ unit, 14 building multifamily portfolio in Vancouver’s Downtown and West Side, built between 1925 and 1976.
We are executing a six-year ASSET UPGRADE STRATEGY and require a PROJECT CONTROLS ADMINISTRATOR to manage and enforce the document and approval systems supporting our renovation projects.
JOB PURPOSE- Ensure all renovation projects are fully documented, tracked, and procedurally complete at all times.
- Translate Facilities Management Department Head direction into documentation, approval chains, trackers, and complete records.
- Serve as the central control point for procedural flow and project data across Facilities Management, Property Management, and Accounting.
- Role requires disciplined adherence to process and proactive closure of gaps.
Reports to Facilities Management Department Head.
RESPONSIBILITIESResponsible for maintaining and enforcing the following across all active projects and assets:
- Budget approval chains and live budget trackers (applied, approved, used, remaining)
- Invoice processing chains and payment tracking
- Complete project and asset files (drawings, contracts, approvals, invoices, correspondence, photographic record over time)
- Project metrics and reporting
- Personnel schedule tracker under direction of Department Head
- Coordination of document and approval flow with Property Management and Accounting
- Identification and immediate closure of gaps in documentation, approvals, or records
PERFORMANCE STANDARDS- All project data is accurate, complete, current, and retrievable at any time
- All files and trackers are internally consistent and fully up to date
- All procedures and filing systems are transparent and clearly understood by others
- No missing documents, approvals, or unexplained discrepancies
QUALIFICATIONS- Experience in construction, property management, or a related environment with structured project documentation
- Background in bookkeeping, accounting, or cost tracking
- Strong working ability in MS Excel / Word / PowerPoint, Google Sheets, Google Drive
- Familiar with budgeting, change orders, cost tracking, and report preparation
