Job SummaryWe are seeking a highly organized and motivated Construction Project Coordinator to assist in managing construction projects from initiation to completion. The ideal candidate will support project managers, coordinate with on-site teams, maintain project documentation, and ensure that schedules, budgets, and quality standards are consistently met.
ResponsibilitiesProject Planning & Coordination- Support Project Managers in planning, scheduling, and executing construction projects.
- Coordinate meetings, prepare agendas, and record meeting minutes.
- Track project progress and update project management software.
- Assist Project Managers and Superintendents with daily project operations.
Communication & Documentation- Serve as primary point of contact for project-related inquiries.
- Prepare and maintain project documentation, including contracts, change orders, submittals, RFI’s, meeting minutes and close-out documents.
- Coordinate communication between internal teams, field staff, subcontractors, suppliers, and clients.
- Assist in resolving project-related inquiries and issues.
Financial & Administrative:- Assist with budget tracking, invoicing, and payment processing.
- Process purchase orders and track material deliveries.
- Assist in budget preparation, cost tracking, and procurement of materials, subtrades and equipment.
- Support the preparation of project reports and presentations.
Compliance & Quality Control- Coordinate permit applications and regulatory approvals
- Track and verify insurance certificates, licensing requirements and maintaining safety documentation.
- Schedule and coordinate subcontractor activities and assist with workforce planning and allocation
- Monitor compliance with contractual obligations
- Schedule and document site visits, inspections, and progress meetings.
QualificationsEducation:Diploma or degree in Construction Management, Civil Engineering, Architecture, or a related field.
Experience:2–4 years of experience in construction administration, coordination, or similar project support roles. Familiarity with residential and commercial construction projects preferred.
Skills:Technical: Proficiency in project management software (e.g. Procore, Buildertend, MS Project, or similar), Microsoft Office Suite (Word, Excel, Outlook), knowledge of construction accounting principles.
Organizational: Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
Communication: Excellent written and verbal communication skills, with the ability to interact professionally with project participants.
Problem-Solving: Strong analytical and problem-solving abilities.
Attention to Detail: Meticulous attention to detail and accuracy in all work.
Teamwork: Ability to work effectively both independently and as part of a team.
