Position Overview: The Project Coordinator supports the Project Manager in a manufacturing environment and acts as a liaison between people, tasks, and timelines. This role focuses on coordination, tracking, and communication to ensure manufacturing projects are planned, executed, and completed safely, on time, and within scope. Projects may include equipment installations, process improvements, facility upgrades, or operational initiatives.
Principle Accountabilities- Assist with developing and maintaining project plans, schedules, and task lists for manufacturing and operational projects.
- Track critical deadlines, milestones, and deliverables to support uninterrupted production and project timelines.
- Coordinate project meetings, including agendas, minutes, and follow up actions.
- Organize and maintain project documents such as drawings, procedures, schedules, and change records
- Coordinate communication between plant leadership, engineering, maintenance, operations, contractors, and vendors.
- Distribute project updates, meeting notes, and action items to stakeholders.
- Follow up with internal teams and external partners to ensure assigned tasks are completed on time.
- Act as a central point of contact to support clear and consistent communication across the project team.
- Monitor project progress and identify potential risks, delays, or impacts to production.
- Assist with tracking budgets, purchase orders, invoices, and material deliveries as required.
- Prepare regular status reports for the Project Manager and plant leadership.
- Support tracking of project changes and corrective actions.
- Maintain organized project files and records in accordance with company and audit requirements.
- Assist with onboarding contractors and project team members, including documentation and coordination.
- Support compliance with safety, quality, and regulatory requirements within the plant.
- Coordinate required training, permits, or approvals related to project activities.
- Additional duties as assigned.
Qualifications and Requirements- Bachelor's degree in engineering is strongly preferred.
- Associate’s degree in project management, engineering, business administration, or a related field preferred.
- 1-3 years of project management skills required.
- Experience in a manufacturing, industrial, or plant environment is strongly preferred.
- Experience supporting capital projects, maintenance initiatives, or continuous improvement projects considered an asset.
- Strong organizational and time management skills.
- Clear and professional communication skills for emails, meetings, and follow ups.
- Strong problem-solving skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced manufacturing environment.
- Comfortable working with cross functional teams and external contractors.
- Proficient in Microsoft Office, including Excel.
- Experience using project management tools such as MS Project, Microsoft Smartsheet, or similar systems.
- Ability to review schedules, track action items, and manage documentation accurately.
