About the RoleWe are seeking a highly organized Project Coordinator/Scheduler to join our residential construction division. In this pivotal hybrid field-office role, the Project Coordinator serves as the primary agent among Project Managers, Site Supervisors, and subcontractors, ensuring that all parties remain aligned throughout the project lifecycle. You will be instrumental in driving the seamless execution of residential builds, rigorously monitoring schedules, and consistently upholding the highest standards. Key ResponsibilitiesDevelop and Maintain Detailed Project Schedules- Oversee and manage construction timelines from initial excavation through final closing, ensuring every stage is complete according to the project plan.
- Regularly update schedules to accurately reflect site progress, weather impacts, and any change orders issued.
- Distribute current schedule information to all stakeholders to promote informed decisions throughout the project lifecycle.
Coordinate Trades and Crews- Schedule and confirm assignments with various trades including framing, roofing, bricklaying, plumbing, gas fitting, electrical, drywall, and finishing teams.
- Collaborate closely with the Site Supervisor to manage subcontractor schedules and oversee timely material deliveries, proactively addressing potential site delays.
- Strategically sequence activities to minimize downtime and prevent site congestion.
- Maintain ongoing communication with trade partners regarding start dates and completion timelines, resolving conflicts efficiently.
- Anticipate bottlenecks and make necessary adjustments to keep construction on track.
Schedule Inspections and Utility Connections- Arrange required municipal inspections for each construction phase (e.g., footings, framing, insulation, occupancy) to ensure compliance.
- Coordinate utility connections (hydro, gas, water, etc.) in alignment with project milestones.
- Track inspection outcomes and address any deficiencies promptly.
- Maintain meticulous records of permits, approvals, and inspections.
Track Milestones and Resolve Scheduling Conflicts- Monitor key project milestones to ensure timely completion.
- Identify and mitigate risks or delays with corrective actions.
- Collaborate with Site Supervisors to adjust sequencing as needed based on evolving site conditions.
- Conduct routine walkthroughs to monitor progress and update the schedule tracker, accordingly, and promptly identify and note deficiencies.
- Manage multiple concurrent project schedules, consistently achieving target deadlines.
Administrative and Site Support- Maintain comprehensive and accurate project documentation, including blueprints, RFIs, purchase orders, change orders, and permits, to support operational efficiency.
- Provide administrative assistance to Site Supervisors, including document control, data entry, and communications with trades and suppliers.
- Assist with purchase order tracking, work order management, and documentation changes to ensure accurate records.
- Maintain organized project files (digital and hard copy) for operational efficiency.
- Prepare and submit detailed weekly reports, including manpower tracking, weather logs, and photographic documentation to inform decision-making.
- Support internal reporting and scheduling meetings as required.
Qualifications- 2–5 years’ experience in residential construction coordination or assistant site supervision.
- Proficient in interpreting architectural and structural drawings/blueprints.
- Advanced skills with Microsoft Office (Excel/Word/Outlook) and construction management software (Builder Trend, Bluebeam, MS Project, or similar).
- Degree or diploma in Construction Management, Engineering, or a related discipline preferred.
- Valid driver’s license and reliable vehicle required.
- First Aid/CPR and safety certifications (e.g., WHMIS, Working at Heights) are assets.
Skills- Experience in residential construction preferred.
