Job PurposeAs part of the CAGBC Project Development and Research team, the Project Coordinator will play a key role in coordinating activities, partnerships, and deliverables for funded initiatives. The role supports both strong project delivery and the effective organization and synthesis of research-related inputs and outputs. The Project Coordinator will report to the Program Manager, Project Development and Research and work with a dedicated team of project, communications, engagement and technical staff. This role offers an exciting opportunity to work on projects related to workforce development, the financial performance of green buildings, retrofits, and Canada’s growing green building industry. This position is an existing role within the organization. This is a three year, fixed term position with the possibility of extension.
Key ResponsibilitiesProject Coordination and Stakeholder Engagement- Support the team in implementing project work plans, schedules, and deliverables.
- Coordinate logistics and travel for workshops, roundtables, and other in-person and virtual engagement activities. Provide on-site logistical support if requested and engage directly with vendors for smooth event delivery.
- Maintain organized records of research outputs, references, and supporting materials to enable internal learning and reuse.
- Track progress against milestones, ensuring deliverables are on time.
- Maintain detailed records, reports, and project documentation.
- Serve as a primary contact for project partners and consultants on logistical items (travel, meetings, minutes, etc).
- Coordinate outreach, invitations, and follow-up for engagement activities.
- Working with Director, Manager and subject matter experts to gather relevant content, support preparation of presentation materials, agendas, and briefing notes and ensure quality visual presentation.
- Assist in capturing feedback and insights from partners and stakeholders to inform project development.
- Support business development efforts as requested, including coordinating proposal documents, partner letters and budgets
Financial and Contract Monitoring- Track and reconcile project expenditures against budgets.
- Monitor consultant contracts, deliverables, and invoices.
- Support procurement and contracting processes, ensuring compliance with organizational and funder requirements.
- Serve as a primary contact point for finance team.
Communications and Reporting- Contribute to progress reports, summaries, and internal briefings.
- Support development of communications materials such as meeting summaries, newsletters, and updates for stakeholders.
- Help document project outcomes, lessons learned, and success stories.
Qualifications and Experience- Post-secondary degree.
- 2 years of relevant experience supporting complex, multi-stakeholder projects — ideally in the building industry, workforce development, or sustainability.
- Strong organizational and time management skills with the ability to balance multiple priorities.
- Willingness to coordinate meetings and events, both in-person and virtual.
- Demonstrated ability to build and maintain positive relationships with diverse partners and stakeholders.
- Familiarity with budget tracking and financial reporting.
- Strong communication and writing skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
