Position SummaryThe Recruitment Assistant supports the hiring process across both office and operational roles. This position plays a key role in ensuring a smooth, efficient, and professional candidate experience while helping the company meet its evolving staffing needs—particularly during peak and seasonal periods.
This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key ResponsibilitiesRecruitment Coordination- Assist with job postings across various platforms
- Screen resumes and shortlist candidates based on role requirements
- Schedule interviews and coordinate communication between candidates and hiring managers
- Maintain and update candidate records in the applicant tracking system
Candidate Experience- Serve as a primary point of contact for candidates throughout the recruitment process
- Ensure timely, clear, and professional communication
- Support onboarding coordination, including documentation and initial communication
Operational Hiring Support- Assist with high-volume hiring needs for seasonal and operational roles
- Help track staffing levels and hiring progress during peak periods
- Coordinate group interviews or hiring events when needed
Administrative Support- Prepare offer letters and employment documentation
- Maintain organized recruitment files and records
- Support reporting on recruitment metrics (e.g., time-to-fill, candidate flow)
Collaboration- Work closely with HR and department managers to understand hiring needs
- Support efforts to improve recruitment processes and efficiency
- Help maintain alignment between hiring strategies and business needs
QualificationsEducation & Experience- Diploma or degree in Human Resources, Business, or related field (or equivalent experience)
- Previous administrative or recruitment experience is an asset
Skills & Competencies- Strong organizational and time management skills
- Excellent written and verbal communication
- Ability to handle high-volume, fast-paced workloads
- Attention to detail and accuracy
- Comfortable using recruitment platforms and Microsoft Office/Google Workspace
- Ability to maintain confidentiality and professionalism
