Job OverviewWe are seeking a dynamic and detail-oriented Sales Administrative Assistant to join our vibrant sales team. In this role, you will be the backbone of our sales operations, providing essential administrative support that ensures smooth daily functions. Your proactive approach and organizational skills will help streamline processes, enhance customer interactions, and support our sales goals. Duties- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Assist with calendar management and scheduling appointments for sales team members, ensuring timely follow-ups
- Provide exceptional customer support via phone, email, or in person, addressing inquiries promptly and courteously
- Assist in generating quotes and proposals for fire alarm systems, service work, inspections, and product orders
- Review drawings, specifications, and customer requests to prepare accurate pricing
- Maintain and update sales logs, and quote databases
- Coordinate with vendors for pricing, availability, and product information
- Process purchase orders, sales orders, and related documentation
- Track order status and ensure timely delivery and communication
- Receive deliveries and reconcile with vendor orders
- Support the sales team with administrative tasks and follow-ups
- Work collaboratively with service technicians, project managers, and dispatch teams
- Maintain up-to-date knowledge of fire alarm equipment, codes, and industry standards (training provided)
Requirements- Experience in the fire alarm, security, life safety, or electrical/low-voltage industry preferred
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office; experience in CRM or ERP systems a plus
- Ability to read drawings and technical documents is an asset
- Strong customer service orientation
- Ability to multitask and work in a fast-paced environment
- Positive attitude and strong teamwork skills
- Strong typing skills combined with high computer literacy for data entry and document proofreading
- Personal assistant experience or familiarity with office management duties is advantageous
