About this roleThe Senior Property Manager is a seasoned leader with extensive experience overseeing large, high-profile property portfolios, managing both operational and financial activities. This role is responsible for the comprehensive management of a commercial portfolio, ensuring alignment with ownership goals and objectives. The Senior Property Manager fosters strong relationships with clients, tenants, and vendors while serving as a trusted advisor, delivering strategic solutions to optimise property performance.
Staff Management- Supervise portfolio personnel and resources to ensure property is properly maintained and owner objectives are met.
- Responsible for leading and managing staff, including hiring, training, coaching and evaluating performance.
- Supervise on-site personnel.
- Assist with the supervision of construction management projects as required.
Client Relations/Client Reporting- Maintain owner relationship and satisfaction through appropriate communication (visual, written and oral).
- Maintain tenant contacts and satisfaction through appropriate communication (visual, written and oral).
- Administer and ensure compliance with the terms of all tenant leases (LLW, TI, LOC, etc.).
- Develop and maintain Tenant Manual.
Budgeting/Financial- Responsible for annual budget preparation and tenant reconciliations for review and approval by senior management and ownership.
- Prepare monthly and quarterly ownership reports.
- Understand the portfolio's financial performance relative to the owner's goals and objectives.
- Approve purchase orders, invoices and rent-up schedules.
- Oversee collection of rent, payment of expenses and compliance with lease terms.
- Oversee and participate in the preparation of annual adjustments/reconciliations for the portfolio.
- Monitor gross sales reports for retail properties. Assure timely reporting from tenants and billing of the annual percentage of rent as required. Coordinate tenant sales audits.
- Prepare and submit annual operating and capital budgets for owner approval, including comments and assumptions for the same.
- Approve payables and establish priorities of payment when necessary.
- CAM and operating expense reconciliation.
- Review monthly financials and prepare comments for owners, and recommend corrective action as necessary.
- Monitor real estate taxes and assessed valuations to ensure proper levels of taxation.
- Control expense commitments and develop expenditure procedures to adhere to budget guidelines.
Maintenance- Develop and maintain building procedures, utilising building staff as appropriate.
- Conduct property inspections. Ensure vacant space, including monitoring efforts, is in place.
- Develop and maintain long-range plans (rehab/modernisation), including maintaining knowledge on competing properties.
- Preparation of proposals and presentations to clients.
- Start-up of new management assignments.
- Work in collaboration with the SOM.
