The Inventory Financial Management Support – Student Assistant will assist the accounting team with the following:
- Review and familiarize themselves with negotiated national pricing for product purchases from various Vendors for both franchise system
- Pricing varies depending on the geographic location of each of the corporate run location
- Inventory codes for all planned product purchases within the QuickBooks Online accounting software
- Ensure current year’s pricing has been updated in the accounting software for the six corporate store locations, all run as separate individual companies
- Timely issuance of Purchase Orders within the accounting software for various product ordering for individual corporate stores, correct tax, various provincial location delivery/shipping specifics and payment terms, from individual store inventory purchase order request spreadsheets, approved per the Agronomist/Technical Director
- Receive packing/delivery slips and process in the accounting software as well as ensure the Inventory control spreadsheet have been updated by each location, confirming quantities and sizes received.
- Follow up for reciprocating invoices, matching process and confirmation of invoiced prices, and quantities invoices are the same as those delivered.
- Communication with location branch managers/production managers of quantities for deliveries when paper delivery/packing slips are absent, or do not match with Purchase Order
- Post inventory invoices in the accounting software matching Purchase Orders, and confirming quantities are invoiced in full. Query with Vendors and Branch/Production Managers of any differences.
- Ensure Invoice is entered in the accounting software with the correct pre-arranged seasonal payment terms and advise Accounts Payable of forthcoming payments due.
- Preparation if each corporate store Inventory Count sheets, ensuring all deliveries are up to date, distribution on the last day of the month.
- Receipt of monthly counted inventory quantities from each corporate store within 5 days of month end, prepare calculations of material used during the month in preparation of a month end general journal entry to post inventory consumed during the prior period and reported in the Profit & Loss Statement in Cost of Goods Sold.
- Review with the branch managers the month end inventory calculation to ensure correct.
- Analytical review of actual purchases to budgeted purchases, and any ad hoc analytics as required.
- Develop best practice documents, along with tips, of the entire process, so as to place in the Accounting Procedures Policy Manual.
Pay Rate: $20-$23 per hour
