Part-Time Administrative Assistant
Location: New Tide Counselling & Consulting - Miramichi, New Brunswick

About Us:New Tide Counselling & Consulting is a client-centered mental health practice offering compassionate, evidence-informed care to individuals, couples, and families. Our team operates across two physical locations in Miramichi and Bathurst and provides virtual services to clients across Canada.
Position Summary:We are seeking a dependable, organized, and detail-oriented Administrative Assistant to support the daily operations of our clinic. This role is essential in ensuring a smooth client experience and efficient coordination across both in-person and virtual services.
Key Responsibilities:- Manage client files and documentation using Jane App
- Book, update, and coordinate appointments for multiple clinicians
- Process payments, insurance claims, and receipts
- Complete insurance payment reconciliation
- Invoice third-party payers
- Maintain and update referral lists
- Respond to phone calls and voicemails in a timely, professional manner
- Monitor and respond to reception email inquiries
- Support clinicians with billing processes and documentation setup
- Assist with onboarding tasks such as registering new clinicians with insurance providers
- Manage payroll and reimbursements using Payworks
- Order and maintain office and waiting room supplies
- Complete general administrative tasks and occasional errands as needed
Qualifications:- Previous administrative or reception experience (healthcare or mental health setting preferred)
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and priorities efficiently
- Excellent communication and interpersonal skills
- High level of professionalism and confidentiality
- Comfortable using digital systems and learning new platforms
Preferred Assets:- Experience with Jane App, Sage, and Payworks
- Familiarity with insurance billing and third-party payers
- Experience supporting virtual service delivery
- Bilingualism (English/French) is a strong asset
