The Job!We’re looking for a highly organized and detail-oriented Administrator to support a Senior Manager who supports the leadership team in a fast-paced professional environment. You’ll play a key role in supporting leadership through strong coordination, communication, and administrative execution.
- Provide day-to-day administrative support to senior operations leaders
- Manage complex calendars, scheduling priorities, and meeting logistics
- Coordinate internal and external meetings across multiple time zones
- Prepare agendas, capture meeting minutes, and track action items and follow-ups
- Create polished presentations and professional business documents
- Draft, format, proofread, and edit reports, communications, and internal materials
- Maintain organized filing, documentation, and version control systems
- Support workflow improvements and administrative process efficiency across teams
- Ensure leaders are prepared with accurate, timely, and well-organized materials
What you bring to the jobYou are someone who is proactive, resourceful, and comfortable managing multiple priorities independently. You have experience preparing presentations, agendas, meeting notes, and follow-up tracking and also come with:
- Post-secondary education in Business Administration, Office Administration, Communications, or a related field (or equivalent experience)
- 3–5 years of experience in administration, executive support, or team coordination
- Located in Ontario and have a valid driver’s license required, with ability to attend in-person meetings in the Greater Toronto Area. GTA preferred.
- Advanced skills in Microsoft Office 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint)
- Excellent written communication, proofreading, and formatting skills
- Exceptional attention to detail and a high standard for accuracy and quality
- Ability to handle confidential information with professionalism and discretion
- Experience using task or workflow management tools is an asset
