We are looking for a detail-oriented and personable Administrative Assistant who can handle both routine administrative tasks and special projects while contributing to the smooth running of our operations. This role is to provide support during a maternity leave and requires strong organization, attention to detail, and the ability to manage multiple priorities.
Key Responsibilities:- Serve as the primary point of contact between clients and both internal and external colleagues.
- Support and manage internal projects and initiatives.
- Onboard new clients and maintain organized client files.
- Organize and schedule meetings, including booking meeting rooms.
- Take minutes at meetings and prepare clear, concise summaries.
- Maintain a high level of confidentiality with sensitive financial information.
- Schedule meetings, inspections, walkthroughs, service calls, and possessions.
- Manage social media content and updating marketing materials when needed.
What We’re Looking For:- At least 2 years of experience in an administrative role, preferably in a construction environment.
- A strong command of written and spoken English with excellent communication skills.
- High proficiency in Microsoft Office (Outlook, Word, Excel). & Canva
- A relaxed, outgoing, and confident personality, with the ability to connect with people and make them feel comfortable.
- Attention to detail and the ability to follow and implement company processes and procedures.
- Ability to stay organized and meet deadlines in a fast-paced environment.
- Professional demeanor, with a mature approach to handling sensitive information.
- Ability to work both independently and as part of a collaborative team.
