Deal Administrator (6-Month Contract) – Real Estate Brokerage

Hands-on deal processing, exposure to multi-province transactions, and strong potential to grow into longer-term or expanded roles.
Role SummaryWe are seeking a detail-oriented Deal Administrator to support end-to-end real estate transaction processing within a high-growth brokerage environment. This is a 6-month contract opportunity, ideal for someone experienced in deal processing, documentation review, and agent coordination across multiple provinces.
Key Responsibilities- Process real estate transactions including buying, listings, leases, and builder deals across Ontario, BC, and Alberta
- Review transaction documentation (APS, agency agreements, FINTRAC, etc.) to ensure accuracy and compliance
- Manage deal entries, closings, and file completion within deal processing systems (e.g., Lone Wolf)
- Handle commission processing, including receipting, EFT payments, and reconciliation
- Issue invoices to lawyers and co-operating brokerages and follow up on outstanding payments
- Send trade record sheets to agents and support deal file reviews
- Communicate with agents to ensure timely submission of complete documentation
- Respond to agent inquiries and support daily brokerage operations
Technical Skills & Knowledge- Experience with real estate deal processing software like LoneWolf
- Strong understanding of Agreements of Purchase and Sale, agency forms, and transaction workflows
- Familiarity with Ontario real estate regulations (TRESA) and FINTRAC requirements
- Experience with commission processing, invoicing, and EFT payments
What We’re Looking For- 3–5 years of experience in real estate brokerage operations or deal administration
- Strong attention to detail and ability to manage high-volume transactions
- Strong communication and customer service skills
- Ability to work independently in a remote, fast-paced environment
Qualifications- Post-secondary education in business, accounting, or related field (preferred)
- Real estate industry experience or training is a strong asset
- Must be legally eligible to work in Canada
- Ontario-based candidates preferred; Eastern Time zone is an asset
