This role is responsible for how the college manages, controls, and audits its digital information across enterprise systems. You will configure and maintain platforms that manage access, retention, and audit of data. That includes setting permissions, applying lifecycle rules, and making sure systems are structured properly and hold up under audit. You will also support investigations and audits by reviewing system activity, gathering evidence, and working with key partners sensitive matters. This role requires strong attention to detail, sound judgment, and the ability to work independently in a high-trust environment.
Key Responsibilities- Own and manage the college’s collaboration and records platforms (permissions, structure, lifecycle settings).
- Set up and maintain retention policies, legal holds, and audit logging.
- Keep systems stable, secure, and ready for audit at any time.
- Investigate issues related to data access, retention, and system activity, including support for HR and legal matters.
- Collect and analyze system logs and evidence when needed, ensuring proper handling for audits or investigations.
- Support internal and external audits, including gathering evidence and addressing findings.
- Lead migrations from shared drives or legacy systems into modern platforms, ensuring data is accurate and compliant.
- Create and maintain clear technical documentation and standards.
- Provide guidance and training to departments on how to use systems and manage records properly.
- Work with teams across the college to make sure records practices meet privacy laws and internal policies.
- Monitor system usage, risks, and trends, and flag issues or improvement opportunities.
- Support incident response and ongoing improvements to how records and information are managed.
- Create training program on records management for departmental records management projects.
Job Requirements- Bachelor’s degree in IT, Computer Science, Information Management, or related field (an equivalence of work experience will also be considered).
- 5-7+ years working in enterprise IT (collaboration platforms, systems administration, or similar).
- 2-3+ years working directly with retention policies, legal holds, access controls, or audit features.
- Experience supporting audits, investigations, or compliance work.
- Comfortable working with logs, audit trails, and system activity data.
- Experience creating documentation and standards that others can follow.
- Able to work with technical teams, business units, and groups like HR and Legal.
Additional InformationThis is a Full-time Continuing Administrative appointment (36.25 hours per week) on the Vermilion Campus, commencing May 18, 2026. A comprehensive benefits package and pension are included. The salary range for this position is $68,211 to $89,330 per annum.
