Accountable to: Business Owner, Business Manager + Service & Warranty Manager
Qualifications Required:- Minimum 2-5 years of Executive Assistant experience
- Experience with assisting a CEO or owner of a company
- Experience in Clerical or Administrative role
- Valid BC Driver’s License and a reliable vehicle
- Strong organizational and time management skills
- Exceptional written and verbal English
- Experience/knowledge in Construction industry is a strong asset
- Experience with Microsoft Office (Word, Excel, Powerpoint), Adobe, and Google Drive
- Experience with Monday.com and BuilderTrend is a strong asset
- Experience with AI integration
- Comfortable in a fast-paced environment
- Strong attention to detail and organization skills, tech savvy
- Ability to handle confidential information in a professional manner
Key Responsibilities:Executive & Administrative Support- Manage the Owner’s calendar, assist in scheduling meetings, appointments, screening and escalating emails and business/personal travel while anticipating and resolving scheduling conflicts.
- Prepare, proofread, and organize documents, reports, and emails for owner
- Act as a liaison between the Owner and internal/external contacts, ensuring communication is clear and timely.
- Assist with personal administrative tasks and occasional errands as required.
- Support the implementation and internal training of new technologies and AI systems.
- Prepare meeting spaces and provide technical support for presentations and virtual meetings, including the use of Zoom, MS Teams and Google Meet
- Provide backup reception and office management coverage when required.
- Assist the Business Manager and Administration team with tasks as required
Project & Construction Administration Support- Assist the Construction Team Manager in maintaining subcontractor documentation
- Assist in updating biweekly production meeting notes for all current projects.
- Assist with permit application preparation and documentation and lien documentation
- Receive, organize, and file inspection reports from municipalities, engineers, and consultants.
- Coordinate documentation and communication related to certifications, energy efficiency programs and grant and rebate applications
- Prepare safety kits and site materials for Construction Managers, maintain inventory, track safety certifications and assist with incident reporting and documentation
- Monitor active project service and warranty lists and assist with coordinating schedules for service work with trades and suppliers, and assist with Service and Warranty management
- Other tasks as required
Salary range: $60 - $80K annually plus benefits
