PURPOSE:Reporting directly to the Chief Executive Officer, the Executive Assistant provides comprehensive executive support to both the Chief Executive Officer and the Board of Directors. This role serves as the primary point of contact for internal and external stakeholders on all matters related to the CEO and the Board, acting as a key liaison between these parties. This is a full-time permanent position that is required to work in the office with moderate local travel required.
COMPENSATION AND BENEFITS:Cowichan Tribes offers an excellent benefit and pension plan available after successful completion of the probationary period. The position includes paid training, paid vacation and paid sick leave. Depending on experience, the position starts at $31.22-$33.12 per hour ($56,814.33 - $60,275.21 annually).
RESPONSIBILITIES:- Complete a broad variety of administrative tasks for the CEO including managing an active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, communicating with the board of directors and various committees, and arranging travel plans
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
- Provides a bridge for smooth communication between the CEO and internal and external stakeholders
- Work closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Attend meetings as required with the CEO records decisions and ensure appropriate communication and follow-up
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the organization
- Provide support for all operational aspects of preparation for Board meetings and committee and working group meetings, including logistics, monitoring attendance, collating and distribution of materials, managing board and committee agenda review processes, working with committee liaisons, and preparing meeting minutes and reports
- Prioritize conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
- Prepare communications on governance and board-related matters
- Preparation of resolutions and governance related board materials
- Facilitate onboarding and orientation for new board directors
- Other related duties as required
EDUCATION AND EXPERIENCE: (please attach all required documents)
- Business Administration Certificate required; Diploma is considered an asset
- Minimum of 3 years of experience in providing support to management-level positions required
- A combination of relevant education and experience may be considered
- Experience working in a First Nations community is essential, and a willingness to learn about culture, customs, and traditions of Cowichan people
- Valid BC Class 5 Driver’s License and reliable vehicle
- Satisfactory Criminal Record Check
