We are seeking a highly organized and detail-oriented Executive Assistant to support senior leadership in coordinating cross-functional operations within a fast-paced advertising environment. This role combines executive-level administrative support with exposure to financial tracking and campaign coordination.
Duties- Streamline communication and workflows between the executive office and the creative/production teams to ensure organizational goals align with operational output.
- Provide direct administrative support to senior management, prepare and format executive-level documents, including reports, presentations, briefing materials, and internal communications.
- Conduct market research, compile data, and prepare summaries to support the President and senior management in decision-making, including information related to market trends, campaign performance, and operational planning.
- Coordinate executive-level board meetings, prepare agendas, record technical minutes, and assist in the strategic planning of agency events.
- Assist in monitoring and tracking budgets, invoices, and expenditures related to media buying and client campaigns, and prepare financial tracking summaries as required.
- Support the coordination of multiple concurrent projects by tracking timelines, deliverables, and administrative milestones across digital, video production, and web development activities.
- Assist in city permitting processes, event management and on-site execution, including setup, logistics coordination, and vendor management.
- Act as the primary point of contact between the executive office and external organizations, including key clients, and manage long-term client relationships and media vendor contracts.
- Oversee the administrative lifecycle of integrated campaigns, ensuring that web design, video production, and social media milestones align with client financial constraints
- Maintain confidentiality of sensitive information while demonstrating excellent organizational skills.
Qualifications- Bachelor’s degree in business administration, finance, political science or a related discipline.
- Minimum 2 years of experience in an executive assistant, account coordination or senior administrative role in advertising, marketing, media, public relationship, consulting or similar industry.
- Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Proficiency in Microsoft Office (especially Excel), Adobe Creative Suite, Google Workspace, DocuSign and project management tools.
- Understanding of budgeting, invoicing, or financial tracking in a business setting.
- Excellent written and verbal communication skills in English.
- Ability to work independently with minimal supervision while maintaining attention to detail.
