Senior Support Services–LLG is seeking a highly organized, proactive Executive Assistant/Board Coordinator to support our Executive Director, Governing Board of Directors, and leadership team.
This role is ideal for someone who thrives in a fast-paced, mission-driven environment and takes pride in being a trusted partner behind the scenes. You will play a key role in supporting executive operations, governance, and organizational effectiveness while contributing to meaningful work that supports seniors and vulnerable adults in our community.

Our programs include, but are not limited to: Meals on Wheels, Transportation, Adult Day Programs, Foot Care, In-Home Respite, Stroke Support Programs, Seniors’ Exercise & Fall Prevention, etc. Our work supports independence, dignity, and connection for seniors across Lanark, Leeds & Grenville.
About the RoleReporting to the Executive Director, the Executive Assistant provides high-level administrative and coordination support to ensure the smooth operation of executive and Board functions.
Key Responsibilities- Manage the Executive Director’s calendar, meetings, and correspondence
- Coordinate and prepare for Board of Directors meetings and Board Committee meetings, including agendas, minutes, and meeting packages.
- Act as a liaison between leadership, Board members, staff, and external partners.
- Draft and support internal and external communications
- Drafting and submission of reports to CRA, Ontario Health, insurance, and other applicable funding bodies.
- Coordination and preparation for Annual General Meetings of the Corporation
- Research and writing funding proposals.
- Coordinate meetings, events, and special projects
- Maintain confidential records and governance documentation
- Provide general administrative support across the organization
Qualifications- Post-secondary education in Business or Office Administration (or related field)
- 3–5 years of senior administrative or executive support experience
- Experience in not-for-profit, healthcare, or BoardCoordination is an asset
- Strong organizational, communication, and time-management skills
- High level of discretion and professionalism
- Proficiency in Microsoft Office and virtual meeting platforms
- Valid Class G Driver’s License and access to a vehicle (asset)
- Clean Criminal Record Check with Vulnerable Sector Screening
Compensation- Salary Range: $66,631.50 – $77,200.50 annually (Commensurate with experience & qualifications)
