Job SummaryThe Graduate Secretary for the Department of Economics provides graduate program administrative assistance to prospective and current graduate students. Working closely with the department Graduate Advisor, Faculty of Graduate Studies, and Graduate Admissions and Records Office, the position handles all inquiries and work related to individual students and their respective MA or PhD graduate program. This includes but is not limited to: establishing and maintaining graduate student files, lists, reports, and spreadsheets; monitoring and processing graduate admission applications and decisions; advising current and prospective graduate students on issues related to admission/program requirements, registration/coursework, Teaching and Research assistantships, funding; oversees graduate student funding budget; advising on departmental and university regulations; tracking and scheduling candidacy and oral defense exams; monitoring graduate students' progress (admission, grades, registration, exams, oral defenses, and convocation). This position also provides administrative assistance and back-up support to the Assistant to the Chair and Receptionist during periodic absences and/or peak times of high student traffic.
Job RequirementsSkills:- Excellent oral and written communication skills to deal effectively with all levels of the university community with tact and diplomacy, including the ability to use discretion and maintain confidentiality
- Demonstrated time management, multi-tasking, and organizational skills
- Strong interpersonal skills and ability to establish and maintain effective working relationships with
- faculty, administrators, and students in a multi-cultural environment
- Ability to show cultural sensitivity and articulate policies and procedures over the phone, in person, and via email to domestic and international students where English is a second language
- Willingness to learn department and university policies and procedures and the ability to accurately interpret and articulate such to faculty, students, and colleagues
- Flexibility in working styles: work as part of a team or independently with minimal supervision
- Attention to detail and deadlines
Specialized Knowledge/Education:- Secondary school graduation or equivalent
- Excellent computer software skills including proficiency in Microsoft Office Suite and Microsoft Teams Adobe Acrobat, and Connect
Experience:At least three years of relevant office experience or an equivalent combination of education and experience
Preference will be given to applicants with:- Demonstrated experience in a university setting or post-secondary education environment
- Knowledge of Banner, AIRS, FAST, FMIS, Cascade, Kuali, EPAF
- Familiarity with Graduate Admissions and Records and Faculty of Graduate Studies policies and procedures Familiarity with university policies and procedures
