Job description:Our team at Manulife Wealth is seeking a highly organized and detail-oriented Administrative investment Assistant to support our investment team. This role is ideal for someone who thrives in a fast-paced, client-focused environment and takes pride in delivering exceptional administrative and client service support.
Responsibilities:- Provide administrative support to senior investment advisors
- Coordinate and track account transfers, deposits, withdrawals, and wire requests
- Prepare and format client reports and correspondence
- Maintain and update client records and documentation with accuracy and confidentiality
- Track and update client communication logs and meeting notes in CRM systems
- Assist with onboarding new clients and processing account documentation
- Liaise with financial institutions for tax slips and account transfers
- Handle incoming calls, emails, and inquiries professionally in both English and French
- Support compliance and regulatory documentation requirements
- Participate in ongoing training related to job duties; develop knowledge and skill through sponsored education
- Coordinate meetings, calendars, and client appointments
- Monitor and follow up on pending client requests and action items
Qualifications:- 1–3 years of administrative experience in financial services or wealth management
- Understanding of Investment products available to Canadian Investors (eg. RRSP, RRIF, TFSA)
- Canadian Securities Course (CSC®) completion is a plus.
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- High level of professionalism and discretion when handling sensitive information
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to prioritize tasks and manage multiple deadlines
- Experience with CRM systems is an asset
- Initiative, problem solving, and client service skills are essential.
- Adaptable to an evolving practice.
- Bilingual: Fluent in the written and oral form of the English and French languages.
- Proven effective time management skills.
