Position: IT Asset Receiving SpecialistThe IT Asset Receiving Specialist plays a critical role in the IT operations at Trillium Health Partners by ensuring the timely and accurate receipt, tracking, and distribution of IT assets and supplies across multiple hospital sites. This position bridges procurement logistics with frontline technical support, enabling efficient deployment and lifecycle management of technology resources. The role supports operational continuity, compliance, and service excellence by maintaining inventory integrity and collaborating with various teams to meet organizational need .
REPORTING RELATIONSHIPSThis position reports to the Manager, IS Customer Service Management
JOB DUTIES AND RESPONSIBILITIESWorking collaboratively with staff, your job duties and responsibilities will include but are not limited to:
- Receive, verify, and document incoming and outgoing IT equipment and supplies.
- Ensure items match purchase orders and packing slips, resolving discrepancies as needed.
- Maintain accurate inventory records using asset management systems.
- Prepare IT assets for deployment, including tagging and labeling according to standards. Collaborate with Procurement, Deskside Support, and other internal teams for timely delivery and deployment.
- Coordinate with vendors regarding deliveries, discrepancies, and back orders.
- Provide hands-on support for hardware deployment, moves, adds, and changes across hospital sites.
- Participate in project teams for equipment moves and installations.
- Update asset lifecycle documentation and generate inventory/audit reports using Excel or similar tools.
- Organize storage areas, maintain inventory cleanliness and safety, and process decommissions/disposals.
- Monitor stock levels, notify supervisors of shortages, and escalate resource or space issues as needed.
- Follow hospital procurement and asset management policies, safety protocols, and ensure audit readiness.
Working EnvironmentWorking within a multi-site organization; this role is part of a team providing service to the organization on a 24x7x365 schedule. The successful candidate may be required to work shifts outside of regular business hours. Work locations can vary between all Trillium Health Partners locations.
JOB QUALIFICATIONSKnowledge- Bachelor’s degree or diploma in Information Technology, Business, or related field
- Windows 10/11 required
- ServiceNow ITSM tool preferred
- Understanding of ITIL v4 principles; ITIL v4 Foundations certification is an asset
- Knowledge of IT Asset Management principles, including lifecycle tracking and compliance
- CompTIA A+ certification preferred
Experience- 2+ years experience with IT hardware assembly and configuration
- 2+ years experience with asset tracking and inventory management systems
- 2+ years experience interpreting procurement documentation (purchase orders, packing slips) and reconciling discrepancies
- Experience generating inventory and audit reports using Excel or similar tools
- Exposure to vendor coordination and logistics for managing deliveries and backorders
- Experience in healthcare
Skills and Abilities- Strong client computing experience (desktops, laptops, printers, mobile devices, multifunction devices)
- Proficiency with IT Service Management tools (e.g., ServiceNow)
- Ability to interpret and reconcile procurement documentation (purchase orders, packing slips)
- Exceptional attention to detail for accurate data entry and audit readiness
- Strong problem-solving and analytical skills for resolving discrepancies and optimizing workflows
- Excellent verbal and written communication skills for technical and non-technical stakeholders
- Strong organizational skills with the ability to prioritize under pressure
- Ability to safely lift and move equipment (up to 50 lbs) and travel between THP sites (valid Ontario driver’s license)
