FUNCTIONAL/TECHNICAL RESPONSIBILITIES:- Welcome patients as they arrive at the clinic, creating a positive and professional first impression.
- Act as the key point of contact for patients at the clinic with front-desk responsibilities.
- Thrive in a fast-paced footcare clinic environment supporting multiple practitioners, ensuring smooth patient flow and minimal wait times.
- Coordinate and manage high-volume scheduling across multiple providers, balancing competing priorities and urgent requests.
- Handle new patient inquiries and provide information about clinic services to patients.
- Process, track, and manage all incoming referrals and leads according to company expectations.
- Manage all schedules in the EMR (e.g., Jane App) and audit the schedule for booking conflicts and scheduling errors.
- Manage patient financial accounts: collect payments, issue invoices, and assist patients with billing inquiries, providing clear and detailed explanations of charges and payment processes.
- Is proactive at building a successful business within the clinic where patients are both acquired and retained.
- Make appropriate recommendations on product purchases to achieve exceptional retail sales performance.
- Collaborate closely with a team of footcare providers and allied health professionals to support efficient clinic operations and continuity of care.
- Consult with the team of allied health care professionals within the clinic to contribute to treatment plans for clients.
- Maintain accurate inventory and supply counts in the clinic to meet business demand.
- Ensure treatment areas and equipment are well maintained and clinic-ready at all times.
- Demonstrate effective time management and organizational skills in a high-volume setting.
- Encourage patient engagement and clinic growth by requesting reviews on platforms such as Google Reviews, while maintaining a professional and non-intrusive approach.
- Handle sensitive or challenging patient interactions with professionalism and empathy, effectively de-escalating concerns and resolving issues in alignment with clinic standards.
- Exhibit excellent communication skills, both written and oral.
- Perform other duties as assigned.
QUALIFICATIONS:- 3+ years of experience in a customer service or administrative capacity
- Experience working in a healthcare clinic setting is preferred
- Proven ability to work in a busy, multi-practitioner clinic environment with high patient volumes
- Ability to work in a fast-paced environment, with exceptional time management skills and the ability to perform well under pressure
- Excellent patient service skills that build loyalty and referrals
- Able to work a variety of shifts including days, weekends, and evenings
Job Types: Full-time, Part-time
Pay: $18.00-$21.00 per hour
Expected hours: 24 – 38 per week
