We care Restoration is seeking a highly organized and detail-oriented Office Administrator with bookkeeping experience to support our daily operations. This role is essential in keeping our office running smoothly while also assisting with financial tracking and job-related documentation.
The ideal candidate is proactive, dependable, and comfortable working in a fast-paced environment where priorities can shift quickly—especially in emergency restoration projects.
Key ResponsibilitiesOffice Administration- Manage incoming calls, emails, and customer inquiries in a professional and timely manner
- Greet clients, adjusters, and vendors, and direct them appropriately
- Schedule jobs, coordinate appointments, and support dispatching crews
- Maintain organized digital and physical filing systems for job files and documentation
- Prepare reports, contracts, and correspondence as needed
- Coordinate meetings and assist with internal communication
- Order and manage office supplies
Restoration & Job File Support- Assist with maintaining job files, including photos, documents, and notes
- Support documentation required for insurance claims and client records
- Track job progress and ensure files are complete and up to date
- Communicate with technicians, project managers, and office staff to ensure smooth workflow
Bookkeeping Responsibilities- Handle invoicing, accounts receivable, and follow-ups on outstanding payments
- Enter expenses and maintain accurate financial records
- Assist with accounts payable and vendor payments
- Support job costing and tracking project expenses
- Reconcile transactions and assist with monthly reporting
- Work with accounting software (e.g., QuickBooks or similar)
Qualifications & Skills- Previous experience in office administration and bookkeeping
- Experience in restoration, construction, or a similar industry is a strong asset
- Proficiency in Microsoft Office (especially Excel) and Google Workspace
- Experience with accounting software (QuickBooks preferred)
- Strong attention to detail, especially with financial and job documentation
- Excellent organizational and multitasking skills
- Strong communication skills and professional phone etiquette
- Ability to work under pressure and adapt in a fast-paced environment
