The Pay and Benefits Administrator is responsible for processing payroll and benefits activities ensuring timely, accurate delivery of pay and benefits while maintaining compliance with relevant regulations and policies. By efficiently preparing the payroll process, supporting benefits transactions and ensuring compliance with relevant laws and regulations, the Pay and Benefits Administrator contributes to the overall financial health, stability and smooth functioning of the organization and a positive workforce experience.
In this role, you will :- Prepare, verify and process payroll and benefits data including data entry, adjustments, and reconciliations.
- Ensure accuracy and completeness of payroll and benefits records, including employee attendance, leave, overtime, deductions, tax deductions, pension contributions and benefit adjustments, etc.
- Respond to employee inquiries regarding payroll and benefits, help employees understand various provincial and federal legislation, and resolve any discrepancies or issues.
- Conduct regular audits to verify the accuracy of payroll and benefit data, resolve discrepancies, and maintain data integrity.
- Prepare and balance period-end reports and reconcile issued payrolls to bank statements.
- Ensure that payroll processes adhere to tax regulations, managing tax withholdings, filing payroll taxes, and preparing required payroll reports and ensure compliance with these regulations.
- Maintain accurate and complete records related to payroll and benefits, including electronic and hard copy files.
- Process salary changes, Records of Employment (ROE's)and other payroll activities as well as year-end payroll activities, such as T4 preparation and reconciliations.
- Work collaboratively with other departments, such as Finance and People Services, to ensure effective communication and processes related to payroll.
- Provide input on process improvements, policies and procedures related to payroll, and actively participate in continuous improvement efforts.
What we are looking for :- Qualifications include a minimum of 3 years' experience and a 1-2 year post-secondary certification/diploma and/or an equivalent combination of education and experience.
- Completion of Payroll Compliance Practitioner (PCP) certification or enrolled in the program and completed during employment.
- Proficiency in standard computer applications (Microsoft Office Suite) and payroll software and systems, preferably ADP.
- Knowledge of payroll regulations, policies, and practices.
- Strong attention to detail, mathematical aptitude and accuracy to ensure accuracy and prevent errors.
- Ability to identify and resolve issues, by applying standard procedures and functional or organizational knowledge.
- Communication skills, diplomacy and empathy to interpret information and deliver advice, clarify client or stakeholder needs, offer solutions, and resolve escalations in new or somewhat sensitive situations.

- In a large-scale emergency, where staff numbers are compromised or additional resources are required provide disaster relief and/or emergency field operational support.
