The Project Manager Assistant (PMA) will assist the Project Manager (PM) in planning and scheduling of restoration projects to ensure goals are accomplished within a prescribed time frame.
Duties & Responsibilities- Assist PM with the full cycle of assigned project from initiation to completion.
- Assist PM with homeowner/client communications relaying updates and advising of project scheduling.
- Schedule site visits for the PM with home owners, adjusters and sub contractors.
- Coordinate project activities between PM, staff, sub contractors & home owners.
- Receive and respond in a timely manner to any incoming calls.
- Prepare requests for quotes, purchase orders, work orders, notices of commencement, supporting documentation for cost breakdown and any other documents for jobs as needed.
- Initiate and update client records, including, creating files for all quote claims, maintaining client files and ensuring all documents are scanned and accounted for.
- Maintain Excel spreadsheets , Word correspondence and filing of daily photos to computer job files.
- This job leads into Project Management, this is NOT an admin job as field work will eb required.
Requirements- Post-secondary education and/or administrative training an asset.
- Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Knowledge of Xactimate software is an asset (training available)
