Job SummaryWe are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and supporting various administrative functions. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple tasks efficiently. Experience with working in a trade or construction business is a plus, but not required. The Office Administrator plays a vital role in ensuring the smooth functioning of our office environment and delivering excellent support to staff and clients.
Responsibilities- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and record keeping using Microsoft Office, Google Workspace, and QuickBooks
- Provide customer support by addressing inquiries, scheduling appointments, and maintaining positive communication
- Handle administrative tasks such as proofreading documents, organizing files, and managing calendars
- Assist with bookkeeping duties and financial record management as needed
- Support medical or dental office functions, including patient check-in/check-out processes and insurance documentation (if applicable)
- Maintain office supplies inventory and coordinate with vendors for procurement
- Ensure the office environment is organized, clean, and welcoming
Qualifications- Proven clerical or administrative experience in an office setting
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Excellent organizational skills with attention to detail and accuracy in data entry and proofreading
- Exceptional customer service skills with professional phone etiquette and the ability to handle multi-line phone systems effectively
- Ability to manage multiple priorities in a fast-paced environment
- Experience working in medical or dental offices is preferred but not required; familiarity with front desk procedures and medical office workflows is a plus
- Strong typing skills with the ability to perform administrative tasks efficiently
- Prior experience in bookkeeping or basic financial recordkeeping is advantageous
- Demonstrated organizational skills and the ability to maintain confidentiality when handling sensitive information
